Operations Analyst

Position Type: Part-time, Salaried
Time Commitment: Approximately 20 hours per week to start but may grow
Salary Range: $21,000 - $25,000, dependent on experience

Summary

Overview

The Operations Analyst supports the financial, administrative, and operational systems of the church. We highly value individuals who show initiative, a strong work ethic, and openness to learning over specific technical expertise. Training and ongoing support will be provided to help you succeed in this role.

Key Responsibilities

Financial Operations & Transaction Management

  • Process, review, and approve financial transactions (bills, reimbursements, credit card expenses)
  • Ensure deposits, online giving, ACH transfers, and chargeback notifications are handled promptly
  • Respond to donor questions and assist with donation updates
  • Maintain accurate financial records in QuickBooks
  • Collaborate with accounting partners on monthly reconciliations

Property Financials

  • Collect rent payments and track tenant accounts
  • Execute tenant contracts and maintain insurance compliance
  • Support large building project budgets
  • Coordinate utilities transfers, inspections, and closing documents
  • Ensure compliance with local regulations and renter license requirements
  • Work with Facilities & Operations on capital projects and maintenance budgets

Fund & Budget Management

  • Monitor fund balances and support fund setup/closeout processes
  • Assist with drafting and reviewing the annual budget
  • Track and report designated giving (Kingdom Builders, youth camp, building campaigns, etc.)
  • Provide quarterly variance analysis for leadership review
  • Ensure restricted funds align with donor intent and legal requirements

Financial Reporting & Analysis

  • Prepare and distribute financial reports for leadership
  • Meet with accounting partners and staff to review financial status
  • Provide ad hoc reports and analysis as needed
  • Create simple dashboards or visual financial summaries when appropriate
  • Identify financial trends and recommend improvements
  • Management of church databases

Donor Relations & Stewardship

  • Send giving statements and annual year-end statements
  • Support donor development efforts alongside the Lead Pastor
  • Process stock donations and manage Donor Advised Fund communication
  • Maintain donor confidentiality and IRS compliance
  • Assist with donor appreciation efforts (letters, reports, etc.)

Compliance, Audit & Regulatory Oversight

  • Support year-end closeout and ensure accurate categorization
  • Assist with audit readiness and loan recertifications
  • Manage SOS filings, HELOC renewals, and compliance tasks
  • Support loan or mortgage processes for new properties
  • Maintain IRS, state nonprofit, and (if applicable) ECFA compliance
  • Ensure internal controls are followed and periodically reviewed

Leadership & Coordination

  • Work closely with finance, HR, and volunteer teams
  • Partner with external accounting firms and other vendors
  • Support Overseer and Trustee decisions
  • Coordinate annual employee raises
  • Help maintain smooth and consistent financial systems
  • Serve as a trusted partner to the Lead Pastor, Operations Leader, and Trustees
  • Participate in strategic planning as needed

Preferred Qualifications

  • Bachelor’s degree in Accounting, Finance, or equivalent experience in finance/bookkeeping
  • Experience in customer service, teamwork, or professional environments
  • Basic proficiency in Excel (or willingness to learn)
  • Strong analytical, organizational, and communication skills
  • A proactive, teachable attitude and commitment to the church’s mission
